How to Translate Files

1. Select the Correct Language Pair

   • Avoid using Auto detect. Instead choose the language code tied to your language data

   • Correct source and target languages ensure that your stored terminology and translation memory are applied.

   • If unsure what language code your language data is connected to, reach out to your Localization Success Manager (LSM).

2. Translation Engines

   • MT Auto-select automatically chooses the most suitable engine (e.g., DeepL, Phrase MT, Rozetta).

   • For better accuracy, connect Custom Engines trained on your company’s language data (optional add-on, reach out to your LSM for more information).

3. Supported Formats & Limits

   • The portal supports 15+ formats including PDF, PPTX, SRT, XML (max 40 MB).

   • New formats are added regularly. check the info icon or contact your LSM for more information.

   • Be mindful of your monthly MTU limit and avoid unnecessary uploads.

   • Click Upload or drag your file into the portal.

   • Click Translate and wait for processing.

   • The translated file will keep the same layout and format as the source. (Note: .pdf will be converted to .docx)

   • Review the QPS (quality performance score) (Note: The QPS may show a 0% score, read the tutorial "Understanding the QPS" for more information on why).

   • Download your translated file.

4. Support

   • For help with language selection, file formats, quality checks, or MTUs, contact your LSM.

Understanding the QPS Score

The portal is designed for instant file translation while preserving the original layout and formatting in a secure environment. With continuously updated glossaries and language assets, it ensures a high level of consistency and quality.

For maximum accuracy in your translation workflows, you should enable a human-in-the-loop, AI-powered process to guarantee quality and continuously refine your language assets.

1. What is QPS?

   • QPS (quality performance score) is a system-generated estimate of machine translation quality.

   • Important: QPS is only generated for machine-translated text. Content taken directly from translation memory (TM) is not scored, since it is considered previously approved translation. This means a file fully covered by TM will show a QPS of 0, it's important to remember that this does not mean it is of low quality.

   • Higher scores indicate a greater likelihood that the translation will require little or no editing.

2. Where to Find It

   • The QPS is shown alongside your translated file.

   • Scores are displayed as a percentage; a higher score mean better predicted quality.

3. How to Interpret QPS

   • QPS is a guide, not a rule.

   • What counts as “good enough” depends on your quality requirements, content type, and audience.

   • Legal documents may require higher scores and more thorough quality assurance.

   • Internal documents may be acceptable with a lower score if they are still clear and accurate.

   • A score that works well for one project may not be sufficient for another.

4. Improving QPS

   • If you notice consistently low scores, contact your Localization Success Manager (LSM).

   • They can help review your glossaries and language assets and advise what steps you can take forward.

How to Find Recent Translations

1. Storage Duration

   • All completed translations are stored in the portal for 30 days under the Recent Translations section.

   • This allows you to quickly locate and download them without re-translating, saving time and maintaining consistency.

   • Recently translated files will be stored in their original format whilst recently translated text will be stored in the .txt format.

2. Accessing Recent Translations

   • Log in to the Instant AI Portal.

   • From the main dashboard, navigate to the Recent Translations area in the top right corner.

   • You will see a list of files and text translated in the last 30 days.

3. Downloading Files

   • Locate the translation you need.

   • Click to download the translated text or file.

   • The file will keep the same layout and formatting as when it was first translated.

4. When to re-translate

   • Past translations reflect the language data available at the time they were created.

   • If your language data have been updated since you made your translation, consider re-uploading and translating the file again to align with current standards.
